The Yoteiro operating team ("we"), which provides Gatherwhen, handles information according to this policy.
1. Information we handle
Information entered by organizers and participants, including poll titles, notes, proposed and confirmed times, deadlines, display names, availability and comments; authentication details such as email addresses when sign-in is used; feedback and inquiry messages; and usage records and technical browser information. Business features, where available, may also store recipients, signatures and saved email templates.
2. How we use information
To provide scheduling, history and confirmation features; verify identity and prevent abuse; investigate faults and keep the service secure; respond to inquiries; and analyze usage in a form that does not directly identify individuals to improve the service. Saved business inputs and templates are used to make those features reusable.
3. Service providers and disclosure
We do not sell personal information or provide it to third parties without consent, except where required by law. We may use hosting, storage and authentication providers as necessary to operate the service. We currently do not use third-party advertising, affiliate advertising or advertising-related behavioral tracking tools.
4. Shared links and visibility
Anyone with a poll's sharing link can view it. Participant names, responses and comments may be visible to other people with that link, depending on the organizer's visibility settings. Hidden names and comments are visible to the organizer. A sharing link alone does not provide organizer controls or access to the organizer's other polls. Saved email templates are not published on sharing links. Share links only with people you trust.
5. Retention and deletion
Polls, responses and related data are automatically deleted within 13 months of creation; activity records within 13 months; and survey and inquiry information within 24 months. Recent business inputs are limited to the last eight items per field and deleted within 24 months of last use. Saved email templates remain until deleted. These limits may be extended where reasonably necessary for legal compliance or abuse investigations. Organizers can delete individual polls. Signed-in users can delete account-linked poll data and saved inputs from history. Participants can delete their own responses using the same browser and device used to respond. Templates can be deleted from the browser or account where they were saved.
6. Security
We take reasonable security measures, including access controls and hashing identifiers. Complete security on the internet cannot be guaranteed. Do not enter medical histories, passwords, confidential information or other sensitive data.
